Document Automation 101: Where's your pain?To effectively automate a process with scanned documents, you need to identify your "pain points." These are the areas where passing documents for approval and review create problems and inefficiencies.
To come up with your pain points, think in terms of your four major areas of processing: 1) document receipt; 2) routing and approval; 3) filing; and 4) document management and access. For example, are misdirected invoices a major problem? Is it the invoice approval process? Automated workflow technology could be your answer. Or is it vendor inquiries? A vendor portal could do the trick here. Maybe you're having a lot of trouble researching paid invoices? Then consider back-end imaging and archiving.
After you determine your pain points, list them on a spreadsheet and score them according to the level of pain they trigger. And only list the main ones - forget about the ones that are just minor inconveniences. Then you can see where you will have the greatest opportunity for relief.
This exercise will help you get to the core problems that you need to solve through automation. And it will guide you to the solutions that will best eliminate or ease them.
